ExtraFleet is a comprehensive vehicle and equipment maintenance management software program designed and produced by transportation management specialists.  We are very excited to announce the celebration of our 25th Anniversary in 2011 and a major change to our software pricing structure to an Annual License Fee that includes telephone support, updates and upto three(3) hours of Introductory Training.  This buyer’s guide will acquaint you with our software capabilities, a wide range of options, and our new pricing structure.

Flexibility: 

ExtraFleet’s flexibility is reflected in our customer list that includes virtually every type of fleet management situation from; retail repair, to public works, to distribution, to over the road trucking, to school bus and dozens of different units of government.  We accommodate this diversity by providing features and functions common to almost every fleet along with hundreds of user defined fields, custom report options, and the ability to export data in several file formats.

Ease of Use: 

A point and click graphic user interface is the key to ease of use and user buy-in.  Other user inspired features include; the Management Control Center that acts as an interactive manager's to-do list, the ability to double click a history entry and go to the source document in parts and repair history.  Throughout ExtraFleet you will find 100's of other similar links from one part of the program to another.  

Information retrieval is another important element in providing "Ease of Use".  An example of this is the find/browse/spreadsheet style edit feature in every data base that even includes a "replace all" function.  In addition, the Report Designer Wizard walks any user through the customer report production in a series of easy to understand steps.

Single User: 

The single user version puts ExtraFleet to work at a single workstation and is ideal for smaller and medium sized fleets.  You will be able to Schedule Preventive Maintenance, gain immediate access to lifetime repair history, produce cost reports, issue shop floor work orders, capture fuel and mileage, and manage parts inventory from a single workstation.  ExtraFleet single user is the “complete” package and is available in one year increments including telephone support and updates for US $499!!  For a limited time this package also comes with upto 3 hours of on-line introductory training.  We accept Visa, MC, Wire Transfer and Company Checks.  ExtraFleetv2 requires Win XP SP(3) or higher. 

Multi-User: 

Turning maintenance management into a team activity is as easy as deploying the multi-user version of ExtraFleet on a Local Area Network (LAN).  The standard multi-user configuration provides access for five(5) or more concurrent users.  Additional individual seat licenses are available.  It is very easy to start with single user and upgrade to multi-user at any time and with no loss of data.  The screens and functions are identical so there is no learning curve or ramp-up time associated with switching over.  The multi-user version with up to five(5) concurrent users for US $1000 per year including telephone support and updates.   Additional users licenses may can be purchased at cost of US $100 per annum/user. 

Multi-User/TSE: 

Some organizations require that the database reside on an off-site server and be accessible to a wider range in a wider range of geography.  An example is when the server is downtown at headquarters and the shop is out in the suburbs.  With a high speed Internet connection and Windows Remote Desktop Applications it is possible to operate a wide area network with speed and efficiency.  Please have your MIS person contact us if this sounds like your situation.  The Multi-user/TSE access license US $250 per annum. 

Global Access: 

If you want access to your maintenance management system from any desktop on the planet (including your home or someone else’s office) all you need is a high speed Internet connection (at least cable or DSL) and ExtraFleet Global Access.   No in-house tech support required, no need to back up your data (we do that continuously), and most important of all; no restrictions on fleet size, parts, or where you’re sitting when you’re using the software.  You can start out on Global Access and convert to in-house, or convert from in-house to Global Access.  This is the future of maintenance management software.  The cost is US $100/user/month.

Client Server:

When you have a large scale operation with thousands of work orders annually, and/or multiple operating locations where you would like to see all of your data by site or as a whole, then this is the solution for you.  This version of ExtraFleet features multiple sites, multiple parts inventories and operates in the Windows SQL2005 or higher environment.  This product is available as an upgrade for existing ExtraFleet customers as well as new customers who have the need for a large scale maintenance management system that is as easy to use as our single user version.  In fact, they are virtually identical when it comes to look and feel.  Talk to someone in your “IS” (Information Systems) Department and let them know that this is available and you might be surprised with the reception you receive.  Please call for pricing and we guarantee you will be shocked at the affordability factor.

Electronic Fuel System Interface: 

If you have an electronic fuel management system like; GasBoy or Petrovend, or, if you use a service that provides transaction data, like; FuelMan or  Write Express we can save you 100’s of thousands of keystrokes with a custom interface to import fuel and mileage information directly into ExtraFleet.  Regular fuel and mileage updates dramatically increase the efficiency of the Preventive Maintenance scheduling features and improve the accuracy of cost per meter reporting.  US $250 per annum.

Data File Conversion: 

If you are keeping track of maintenance with another system or even a spreadsheet you designed in-house, we can convert your existing data for use with ExtraFleet.   This service speeds the set-up process so you can begin using the software on DAY 1 and preserves your past repair and cost history in a format that will be familiar.  US $750-$1500 depending on scope and degree of difficulty.

Real Time Management Tools: 

Managing maintenance in real-time puts data collection as close as possible, in time and space, to the occurrence of an event.  Real-time processing means a smaller parts inventory, elimination of duplicate data  entry and more control over what gets done and when.  Our ATM style touchscreen Technician WorkStation option tracks exact mechanic labor time on each job, eliminates paper work order, organizes the work flow and brings information as close to real time as possible.  The Technician WorkStation option includes a touchscreen monitor, bar code scanner and software.  Multiple technicians can use the same workstation at the same time.  Hardware and Software US $1700

ShirtPocket Workstation

This is a mobile, rugged, weather resistant portable with a color touch screen, an integrated bar code scanner and software to support Work Order processing, inventory counting, and mobile fueling.  These devices are available in both wireless and batch configurations.  If your techs work in the field or cover a lot of shop/parking lot geography you will want this solution.  US $1895 including Software.
