Flexibility:  It's easy to see how flexible ExtraFleet has become over the years by looking at the types of fleets we serve.  It is a diverse and impressive list that reflects the software's ability to meet broad based needs.  We have accomplished this flexibility by providing features and functions common to almost every fleet and by offering hundreds of user defined fields, custom report options, and the ability to export data in several file formats including .xls(Excel).  We have household names in each of the industries listed below using ExtraFleet to their advantage on a day to day basis.

Ease of Use:  We have been offering Windows based software since 1993.  In fact, we were the first company in our market to offer commercially viable maintenance management software for the Windows operating system.  The reason was simple, we knew then that this would become the user interface of choice for the future.  It was a struggle at first waiting for the fleet world to catch up, but it was a watershed event.  Our most recent release offers a clean, graphic, 21st Century user interface.  Other user inspired features include the Management Control Center that acts as an interactive manager's to-do list.  Items on this list might include Open Work Orders, Over Due PM's, Requisitions (parts that need to be ordered), Open Purchase Orders, even Driver's licenses that are due for renewal.  Select an item from the list and we transport you there to accomplish the work.  Throughout ExtraFleet you will find 100's of links from one part of the program to another.  An example might be double clicking on a job in the equipment repair history to view the work order on which the job was accomplished or right clicking in the Equipment ID field on a Work Order to view the equipment record. 

The real secret to "Ease of Use" is to perform complicated tasks and to make them look like magic.  An example of this is the find/browse feature in every data base.  Up on the tool bar, click on a pair of Binoculars to "find", then you can search by any criteria in the database, then you can Browse (view on screen in what looks like a spreadsheet) the results, then, you can re-arrange the columns by position and width, then you can order the results any way you like, then you can print it, then you can SAVE it and re-use all that any time you want.  Oh, then there is the Report Designer, our internal Report Writer Wizard.  Please forgive our enthusiasm but we really don't think any other fleet maintenance management software with the same level of content can hold a candle to our Ease of Use.

Scalability:  We began this company by providing software for the single user desktop and the local area network and we are delighted to be able to offer more expansive solutions designed to fit today's reality.  We can now meet the needs of almost any sized organization from single user through multi-site, multi-state, or multi-national scale.  We can accomplish this on user provided hardware or over the Internet through our Global Access product.  In this section we will characterize each product offering and provide pricing to guide you through the selection process.

Single User: 

The single user version of ExtraFleet puts this powerful software to work at a single workstation and is ideal for smaller and medium sized fleets.  You will be able to Schedule Preventive Maintenance, gain immediate access to lifetime repair history, produce cost reports, issue shop floor work orders, capture fuel and mileage, and manage parts inventory from a single workstation.  ExtraFleet single user is the “complete” package and its purchase includes one year of telephone support and updates. US $2,000.  We accept Visa, MC, Wire Transfer and Company Checks.  ExtraFleetv2 requires Win98 Second Edition or higher and performs best on the latest version of XP Professional. 

Multi-User:  Turning maintenance management into a team activity is as easy as deploying the multi-user version of ExtraFleet on your Local Area Network (LAN).  The standard multi-user configuration provides access for up to five(5) workstations.  This means the manager, the clerk, the foreman, the mechanics and the parts room can all be using the system at the same time.  If you need more than 5 users we distribute network upgrades in blocks of 5 workstations at a reasonable price.  This is definitely the way to go when you have more than one person depending on the system for day to day operating information.  It is also very easy to start with single user and upgrade to multi-user at any time and with no loss of data.  The screens and functions are identical so there is no learning curve or ramp-up time associated with switching over.  US $2750 buys the multi-user version with up to 5 users.  Additional blocks of 5 local area network users can be purchased for US $750.  Just like the single user version, the first year of telephone support and updates is FREE.

Multi-User/TSE:  Some organizations require that the database reside on an off-site server and be accessible to a wider range in a wider range of geography.  An example is when the server is downtown at headquarters and the shop is out in the suburbs.  With Windows 2003 server's Terminal Services and Remote Desktop Applications it is possible to operate this way with speed and efficiency.  Please have your MIS person contact us if this sounds like your situation.  The Multi-user/TSE package is US $1500.  It is possible to upgrade an existing Multi-user version at an additional cost of US $750.

Global Access:  If you want access to your maintenance management system from any desktop on the planet (including your home or someone else’s office) all you need is a decent Internet connection (at least cable or DSL) and ExtraFleet Global Access.   No in-house tech support required, no need to back up your data (we do that continuously), and most important of all; no restrictions on fleet size, parts, or where you’re sitting when you’re using the software.  You can start out on Global Access and convert to in-house, or convert from in-house to Global Access.  This is the future of maintenance management software.  The cost is US $100-150/user/month.

Client Server: When you have a large scale operation with thousands of work orders annually, and/or multiple operating locations where you would like to see all of your data by site or as a whole, then this is the solution for you.  This version of ExtraFleet features multiple sites, multiple parts inventories and operates in the Windows SQL2000 environment.  This product is available as an upgrade for existing ExtraFleet customers as well as new customers who have the need for a large scale maintenance management system that is as easy to use as our single user version.  In fact, they are virtually identical when it comes to look and feel.  Talk to someone in your “IS” (Information Systems) Department and let them know that this is available and you might be surprised with the reception you receive.  Please call for pricing and we guarantee you will be shocked at the affordability factor.

Electronic Fuel System Interface:  If you have an electronic fuel management system like; GasBoy or Petrovend, or, if you use a service that provides transaction data, like; FuelMan or  Write Express we can save you 100’s of thousands of keystrokes with a custom interface to import fuel and mileage information directly into ExtraFleet.  Regular fuel and mileage updates dramatically increase the efficiency of the Preventive Maintenance scheduling features and improve the accuracy of cost per meter reporting.  US $750

Data File Conversion:  If you are keeping track of maintenance with another system or even a spreadsheet you designed in-house, we can convert your existing data for use with ExtraFleet.   This service speeds the set-up process so you can begin using the software on DAY 1 and preserves your past repair and cost history in a format that will be familiar.  US $750-$3500 depending on scope and degree of difficulty.

Real Time Mobile Electronics:  Our goal is to provide Real-Time processing by putting data collection as close as possible, in time and space, to the occurrence of an event.  Real-time processing means a smaller parts inventory, elimination of duplicate data  entry and more control over what gets done and when.  Our Paperless WorkStation options track exact mechanic time spent on each job, eliminate paper work orders, organize work flow and bring your information as close to real time as possible.  Eliminate “double data entry” by getting rid of paper work orders. We offer portable and stationary WorkStation solutions that are easy to use, responsive and intelligent.

Our totally mobile ShirtPocket Workstation is the rugged, weather resistant PPT-8846 from Symbol Technologies.  This device features a color touch screen, the Windows Pocket PC operating system, an integrated bar code scanner and software to support Work Order processing, inventory counting, and mobile fueling.  These devices are available in both wireless and batch configurations.  If your mechanics work in the field you will want the batch version, if they do most or all of their work in the shop then the interactive wireless version was made for your application.  Batch Device with software US $1895, Wireless Device with Software US $2295

The Technician WorkStation option includes a touchscreen monitor and bar code scanner with an ATM style interface for direct work order entry from the shop floor that eliminates paper, keyboards and clerical data entry. Exact labor hours are tracked for each job and parts and materials used are captured in real time.  Multiple technicians can use the same workstation at the same time.  Hardware and Software US $1700
